Announcing multi-stage retention in Microsoft Purview Data Lifecycle Management

Managing the data lifecycle can be complex. Not only do you have to manage retention, deletion, and protection policies for your data, but often these requirements will change for the same file over time as it moves through its lifecycle. As an example, let’s say you’re preparing a press release for a major brand announcement. While drafting the release, you want to use a retention policy to ensure it isn't accidentally deleted but allows for collaboration. You also want to protect the file so only certain people can view it. Then, when the news event happens, you want to prevent any changes to the release file and change the file protection so everyone can view it. Today we are making a few announcements to align with this vision of data lifecycle management.

 

Introducing Microsoft Purview

First, today we introduced Microsoft Purviewa comprehensive set of solutions that help you govern, protect, and manage your entire data estate. This new brand family combines the capabilities of the former Azure Purview and the Microsoft 365 Compliance portfolio that customers already rely on, providing unified data governance and risk management for your organization. Read more about this announcement in our blog.

Second, to align with the vision of our new brand family, we are renaming Microsoft Information Governance to Microsoft Purview Data Lifecycle Management. This new name demonstrates our commitment to managing retention, deletion, and other policies throughout the lifecycle stages of data. We look forward to getting feedback from you about your data lifecycle management needs. Additionally, we are renaming Microsoft 365 Records Management to Microsoft Purview Records Management.

 

New Microsoft Purview Data Lifecycle Management features

Third, we are excited to announce the public preview of multi-stage retention, coming in May to commercial and GCC tenants. This release enables you to automatically apply a new retention label at the end of a retention period. Previously the options were to delete the items automatically, trigger a disposition review, or do nothing. Both Data Lifecycle Management and Records Management can apply new retention or deletion settings via the new label. You can also use multi-stage retention to sequence multiple labels and accommodate as many lifecycle stages as needed.

Lastly, for Records Management, we are introducing the ability to allow a record label to start "unlocked" for manual records declaration. This capability is now in public preview in commercial and GCC tenants. Organizations sometimes need the ability to declare a file as a record after a period of collaboration. This update allows records managers to apply a record label to content but allow collaboration on the file. Users can then toggle a switch when it’s time to lock the file and prevent edits, declaring it as an immutable record.

We are happy to share that there is now an easier way for you to try Microsoft Purview solutions directly in the Microsoft Purview compliance portal with a free trial. By enabling the trial in the compliance portal, you can quickly start using all capabilities of Microsoft Purview, including Insider Risk Management, Records Management, Audit, eDiscovery, Communication Compliance, Information Protection, Data Loss Prevention, Compliance Manager, and Data Lifecycle Management.
